Frequently asked

Direct answers on our engagement model, the AI practice, and where we're genuinely a fit versus where we're not.

Why 'SapienEx' (not SapienX, Sapien, or Sapience Systems)?
SapienEx is a distinct company — separate from sapienx.ca (a Canadian cleantech consultancy), Sapien (a data-labeling platform), and Sapience Systems (a done-for-you outbound agency). We are SapienEx (exact casing): an AI-native consulting practice focused on production AI implementations and change management. When in doubt, the canonical URL is sapienex.com.
What does SapienEx actually do?
SapienEx is an AI-native consulting practice. We help organizations design, implement, and operate AI workflows — from HubSpot Breeze agents to custom RAG and agent stacks — with a framing that treats AI as a force multiplier on existing teams, not a headcount-reduction exercise.
How is SapienEx different from a traditional management consultancy?
Traditional consultancies deliver strategy decks and leave; platform vendors sell tools and leave the wiring to you. We deliver implementations. Our team includes engineers and AI practitioners who build, test, and hand off working systems — not just recommendations. When we finish, your team can operate what we built without us.
Do you implement HubSpot Breeze AI agents?
Yes — HubSpot Breeze agent implementation is one of our deepest specialties. The full methodology, credit consumption modeling, data-foundation requirements, and common pitfalls are covered at /hubspot-ai. Most Breeze engagements are 8–12 weeks from Discovery to Launch.
What's your engagement model?
We scope each engagement to a concrete outcome — a deployed agent, a shipped workflow, a measurable reduction in a cycle time. Typical structure is Discovery (2–3 weeks), Data Foundation (2–3 weeks), Implementation (4–6 weeks), and Launch + Enablement (2–3 weeks). Ongoing optimization is sold separately if your team wants continued support.
How do you price work?
Fixed-fee per phase wherever possible, so you know the cost upfront. Discovery is the smallest commit and the decision point — if Discovery surfaces that the prerequisites aren't in place, we tell you that and you decide whether to proceed, delay, or bring in a different partner. We don't sell implementations that we don't believe in.
Can you work with us if our data is a mess?
Yes, and you're in good company — most enterprises think their data is ready before it is. The Data Foundation phase exists specifically to fix this: dedup contact/company records, standardize properties, reconcile conflicting knowledge base content, formalize lifecycle stages. Skipping this phase is the single largest cause of AI rollout failures we've seen.
What happens after launch?
At launch, your team owns and operates the implementation. We provide a runbook, escalation paths, and measurement dashboards. Optional retainer support covers ongoing optimization — tuning prompts, reviewing escalation rates, adjusting credit budgets, and adding new agents or workflows — but the default is a clean handoff.
How do you measure success?
Every engagement defines success metrics during Discovery. For HubSpot Breeze: resolution rate, escalation rate, credit consumption per conversation, CSAT on agent-handled cases. For custom AI: workflow-specific KPIs (time-to-resolution, accuracy vs. ground truth, reviewer acceptance rate). We instrument measurement before launch so you can see the impact from day one.
Do you help with change management?
Yes. The technical implementation is often the easiest part — change management is where rollouts live or die. We explicitly frame every engagement as team augmentation (not replacement), train your team on operating the new workflows, and help you articulate the change narrative internally. If leadership wants a headcount-reduction narrative instead, we'll tell you straight that we're not a fit.
How do we start a conversation?
Head to /why-sapienex to read our approach, or go directly to /hubspot-ai if that's your current priority. Both pages have contact paths. We don't take every project — Discovery is a mutual evaluation, and we'll tell you quickly if we're not the right fit.
